It’s Not Just What You Say, but How You Write It

Imagine sending a message that says, “Fine.” You mean that everything is settled. Yet the person reading it wonders whether you are annoyed. Nothing rude was intended, so why did the exchange suddenly feel uncomfortable?

When we speak face to face, listeners hear our voice and notice our expressions. In a message, those clues disappear. The reader must guess our mood from words, punctuation and even the time we reply. This is why written tone matters as much as the information itself.

Consider capital letters. “PLEASE SEND THE REPORT TODAY” may look urgent, but it can also feel like shouting. The same request sounds calmer as “Could you please send the report today?” Capital letters are useful for headings, but using them throughout a message can create unnecessary tension.

Short replies can cause problems too. A simple “OK.” might be perfectly friendly to the writer. To someone else, the full stop may suggest impatience. That does not mean full stops are rude; their meaning depends on the relationship and situation. People also interpret emojis differently, especially in professional conversations.

Timing can change the impression, too. If someone sends several reminders within minutes, the receiver may feel pressured, even when each message is polite. In a busy workplace, a clear subject line and a realistic deadline often work better than repeated messages. Good communication respects the other person’s time as well as their feelings.

A small misunderstanding can grow quickly. Last week, Maya was preparing a presentation when she received an email from her colleague: “I need those figures now.” She was working carefully to check the numbers, but the message made her feel rushed. Her colleague was not angry; he was simply trying to meet a deadline. Later, they spoke and realised that neither had understood the other’s situation. A softer message, such as “Could you send the figures when they’re ready? We’re close to the deadline,” might have helped.

Written communication also invites us to read between the lines When someone replies “That’s interesting,” we might wonder whether they are truly interested or politely disagreeing. Sometimes we invent a negative meaning that was never there. Before reacting, it helps to ask for clarification rather than assume the worst.

So how can we tone down messages that sound too direct? First, read them once from the receiver’s point of view. Could a direct instruction sound like an order? Would a greeting or a brief explanation make it warmer? Next, match your tone to the setting. A message to a close friend can be relaxed; an email to a customer may need more care. Finally, when a subject is sensitive, consider making a phone call. Some feelings are easier to express aloud.

Good writing is not about filling every message with polite phrases or smiling emojis. It is about making our intentions clear without creating confusion. The next time you press “send”, remember: your words travel without your voice. Give them the tone you want the reader to hear.

Past Continuous

We use the Past Continuous to describe an action that was in progress at a particular time in the past.

Example from the article:
“Maya was preparing a presentation when she received an email from her colleague.”

The Past Continuous (was preparing) describes an ongoing action interrupted by a Past Simple event (received).

Modal Verbs for Polite Requests

We use could to make requests sound more polite and considerate.

Example from the article:
“Could you please send the report today?”
